How it works

Our quote software works with the help of a catalog manager, the smart product manager created by our team, for more information regarding it and how it works please check OptiOffer's catalog manager page. All you need in order for our quotation software to work are:

  1. Products
  2. Clients
  3. Offer intro/ending page

That is all you need in order to make amazing looking professional business offers for your clients. Forget about using complicated and hard to use Spreadsheets and start using our solution!

Where can I find it?

The OptiOffer - Quote tool can be found in the main application panel, also it is color coded as blue.

How to create an offer

OptiOffer Panel

This page display's all the recent information regarding the latest offers created.

  1. Offer unique Id
  2. Client name
  3. Total price
  • The total price including discount (if applied) and V.A.T. (if applied)
  1. Number of Products
  • The total number of products used in the offer
  1. Author
  • The user that created the offer
  1. Status
  • The status of the offer, this can be done automatically or manually, for more information go to company details page
  1. Creation date and time

8.1 View and edit - Automatically redirects to Offer edit page

  • This can also be done by simply clicking the line of the offer you want to open

    8.2 Delete

  • A delete confirmation will be displayed - this action is recorded (the admin account can see who, when and what offer has been deleted)

What information is displayed when creating an offer:

  1. Unique Id
 - Automatically generated for easy follow up, storage and referencing.
  1. Client name
  1. Offer status (the workflow can be changed)
   -    The status of the offer, this can be done automatically or manually, for more information go to company details page
  1. Creation date and hour
  1. Expiration date and hour
  1. Author
 -  The user that created the offer
  1. Total sum
   -    The total price including discount (if applied) and V.A.T. (if applied)
  1. Global discount
   -      This discount is applied to all products

How to create an offer/quote?

  1. Click "New offer" button

  1. Add Client to offer

  1. Choose or search client and click "Create"

  1. Click "+" button to add products

  1. Choose or search for products
  • Products can be search using their product code/SKU or by their Title
  • Multiple products can be added at the same time

After choosing the correct product that you would like to add you must also type the following information market with (*).

5.1 Product "Discount" * (%)
  • applied to all individual products that have been added in the current selection
5.2 Product "Quantity" * (.pcs)
  • applied to all individual products that have been added in the current selection
5.3 "Accessory for"
  • applied to all individual products that have been added in the current selection (this will make the chosen product/s to be considered as an attachment for the product that you choose from)

  1. Global discount button

*This discount is applied on the total price of the offer and it reduces the price with products discounts. Ex. 100 - 10% (product discount) - 5% (total offer discount) = 85.5. If you can apply only 1 discount and the other will no be displayed
  1. Your offer is ready to be sent. You can choose what to do with the offer.
  • "PREVIEW & PRINT OFFER" will open the offer in a new window, using the browser print function (or CTRL + P for Windows users and COMMAND + P for MacOs users) you can choose to print it as PDF or directly to a printer.
  • "SEND OFFER TO CLIENT" button will automatically send the offer to the registered contact person e-mail address with a standard set message. This function will automatically change the Status from "DRAFT" to "IN PROGRESS".
  • "SAVE" button will lock the client so no other user will be able to change the client that is set on this offer.
  1. Individual product modifications. Using the "options tab", every product can be independently modified on the following information:
  • View & edit - Discount (%) - Quantity (pcs.) - Accessory for
  • Move to position
